Frequently Asked Questions About Gallery Operating Systems & Notion Consulting
Choosing a new system for your organization is a big decision. You’re not just choosing software—you’re choosing a better way to organize your information, manage your workflows, and help your team work together.
Below are answers to some of the most common questions about Gallery Fuel, the implementation process, Notion, security, AI and automation, and what it’s like to build a customized operating system for your organization.
If you don’t see your question answered here, feel free to reach out. Every organization has its own challenges, and I’m happy to talk through what’s possible.
What does an art gallery business consultant do?
Art Business Consulting is more than putting a few new tools in place. It’s strategic planning, workflow development, and change management designed specifically for how galleries actually operate and make decisions.
I start by deeply understanding your current workflows in different areas of gallery management, your pain points, and goals: sales, client relationships, artist management, exhibitions, operations, and marketing. From there, I translate real-life challenges into practical, connected systems with clear processes, smart templates, consistent reporting, and simple routines your team can follow to get it all done with less stress. And the most important part? Making sure it’s adopted, not just “built.”
How much does it cost?
Pricing varies because the scope varies. A focused project, such as a template, a database, or a single workflow build, may cost a few hundred dollars. A full operating-system build that connects your sales, marketing, exhibitions, and day-to-day operations is a larger investment, typically in the several-thousand-dollar range.
The good news is you don’t have to do everything at once. We will start with the most urgent pain point, then add the next piece when they’re ready, until the whole system works together smoothly, giving you more operational efficiency, more clarity, and a lot more breathing room.
Think of it like investing in operational infrastructure that will serve your gallery for many years and through inevitable market shifts. And it’s worth asking the bigger question: what is disorganization already costing you in time, stress, missed follow-ups, and opportunities?
If having an ongoing strategy partner is something that could help keep your business moving forward, affordable retainer options are worth discussing. These can also be tailored to your needs and budget.
How is Gallery Fuel Different?
I understand your business before I build your system.
A great workspace starts with understanding—not databases.
For more than 20 years, I’ve worked one-on-one with artists and gallery owners to help them develop stronger sales, marketing, and operational strategies. I know the challenges of running a creative business: balancing daily demands, managing relationships, planning ahead, and protecting the creative vision that makes your organization unique.
Before building anything, I take the time to understand how you work, what isn’t working, and what your organization needs most. The result is a system designed around your reality—not a generic template adapted to fit everyone.
I combine strategy with practical systems.
Many technology solutions focus on features. I focus on helping you build a better way of working.
Together, we’ll identify opportunities to simplify your processes, organize your knowledge, improve collaboration, and create workflows that support your goals. Where it makes sense, we can incorporate automation and AI to reduce repetitive work and help your team work more efficiently.
The technology supports the strategy. Not the other way around.
I build systems that empower your team.
My goal is not to create a system that you depend on me to manage forever. It’s to give you a workspace your team can confidently use and maintain.
I’ll teach you (or a key person on your team) how to handle everyday updates and changes, so you have ownership and flexibility. When you need help evolving the system, creating new workflows, or planning your next stage of growth, I’m here as a strategic partner.
Your workspace is built in your organization’s own Notion account, and your data remains yours. When our project is complete, you’ll have everything we’ve created together, along with the knowledge to continue building on it.
No lock-ins. No gatekeeping. Just a practical operating system designed to help your organization run better.
How does the process work?
Every workspace is customized to fit your organization, but the process follows four simple phases designed to keep the project collaborative, organized, and stress-free.
1. Discover
We begin by learning how your organization operates today—your goals, workflows, challenges, and the tools you’re currently using. This helps us identify opportunities to simplify processes and design a system that supports the way you actually work.
2. Design
Before we build anything, we’ll create a clear blueprint for your workspace. Together we’ll define the structure, databases, dashboards, and workflows so everyone understands the plan before implementation begins.
3. Build
Your workspace is built in stages rather than all at once. As features are completed, you’ll have opportunities to review them, test real workflows, and provide feedback. This iterative approach ensures the system evolves around your team’s needs instead of forcing you to adapt to a rigid design.
4. Launch
Once everything is in place, we’ll migrate the remaining information, provide training, and make sure you and your team feel confident using your new operating system. We’ll identify a primary point person when appropriate and ensure they have the knowledge to support the rest of the team.
Throughout the project, you’ll receive regular weekly progress updates so you always know what’s been completed and what’s coming next. I’m also available throughout the engagement to answer questions, brainstorm ideas, and help you make informed decisions. My goal isn’t simply to deliver a workspace; it’s to build a system your team can use with confidence and use more effectively with limited resources.
Can you incorporate AI and automations into my workspace?
Yes! When they make sense. I help organizations build smarter operating systems that combine proven workflows, thoughtful automation, and practical AI where it adds real value. As we explore how best to use this technically in your business, we will talk about:
- Which tasks should use AI?
- Which tasks should never use AI?
- Where should humans review content?
- How do we keep your messaging consistent?
- How do we capture your organization’s knowledge so AI can use it responsibly?
The goal is to eliminate repetitive tasks, improve consistency, and free up your team to focus on more meaningful work.
Depending on your needs, I can incorporate AI and automations to help with things like:
- Drafting marketing and newsletter content
- Maintaining a consistent brand voice
- Creating first drafts of exhibition or event descriptions
- Summarizing meeting notes
- Generating task lists and project updates
- Organizing research and documentation
- Connecting information between your existing tools
Every recommendation is tailored to your organization. If an automation saves time without adding complexity, we’ll explore it. If a manual process is the better solution, we’ll keep it simple.
Do I need prior Notion experience?
Not at all. Most clients come to me because they want a better way to run their business—not because they’re looking to learn new software.
I design the workspace around your goals and workflows, then guide you through the features you’ll actually use. We’ll migrate the important information from your current tools, simplify your processes, and provide training so you can start using your new operating system with confidence.
My goal isn’t to make you a Notion expert. It’s to give you a system that helps you spend less time managing your business and more time growing it.
How do you protect sensitive information?
Protecting confidential information is part of designing a well-organized operating system.
While one of the goals is to make information easier to find and share, not everyone needs access to everything. We’ll work together to identify what should be shared across your organization and what should remain private.
Your workspace can be configured so team members see only the information they need, while sensitive data—such as employee records, financial information, collector or donor details, contracts, and other confidential documents—remains accessible only to authorized people.
The result is a workspace that encourages collaboration without compromising privacy or security.
Is Notion secure enough for my business?
Yes. Organizations of all sizes use Notion to manage projects, documentation, operations, and internal knowledge. The platform includes encrypted data storage and transmission, robust permission controls, two-factor authentication, and undergoes regular independent security audits. As with any cloud-based software, good security also depends on using strong passwords, enabling two-factor authentication, and assigning appropriate access to your team.
During implementation, I’ll help you configure your workspace using security best practices so the right people have access to the right information.
